In this exclusive interview with Raunak Pathak, Chad Vavra, the co-founder of ChatAgency.ai shares how frustration with enterprise AI adoption — and decades of UX experience — led to building a platform focused on structured AI workflows instead of chaotic chat streams.

    What problem were you personally frustrated with that led to the creation of ChatAgency.ai?
    Was there a specific “this must exist” moment?

    I created ChatAgency.ai for two specific reasons:

    In 2024, while leading UX at a Fortune 100 enterprise technology company, I faced challenges with workforce adoption and with generative AI tools. This seemed to stem largely from the ambiguous, empty text box and employees’ dissatisfaction with having yet one more challenge to overcome in figuring it out.

    The other thing that struck me as a UX professional with two decades of experience was that a lot of vibe platforms were coming out, suggesting that a single sentence could generate a finished product. That idea runs counter to design thinking and widely accepted best practices in product design. I wanted to create an easy-to-use tool that democratized the process I had developed over my career. A process that previously garnered six-figure invoices from clients.

    The “this must exist” moment was when I realized that by creating my own platform, I could manage context and prompts across multiple AI models and keep projects organized in ways you can’t with a stream-of-conscious chat.

    What is the biggest misconception businesses have about AI chat agents today?
    Where are most companies getting it wrong?

      I think the biggest misconception is that employees will use an enterprise license to access ChatGPT, Claude, or Microsoft through their employer rather than use their own account to either mask how much work AI is doing for them or use tools the employer doesn’t support. 

      Many AI chatbot platforms are emerging.
      What makes ChatAgency.ai meaningfully different — in technology, positioning, or execution?

      We centralize work into projects. Those projects are auditable and architected to make systematic complexity easy to understand.  For instance, you can see how target markets, value propositions, and personas all flow together.

      For our agency clients, centralizing teamwork across multiple AI services in one place is incredibly important to them and their clients.

      We remove the overhead of researching and maintaining best-of-breed AI offerings. This frees everyone up to focus on their objectives and ROI.

      Who is your ideal customer today — and who is not your customer?
      How did you arrive at that clarity?

      Our ideal customers are:

      1. Agencies working with multiple clients on multiple projects.
      2. Entrepreneurs who understand that for a business to be interesting to investors and ultimately successful in the market, it requires a rigorous process of validation to build conviction.

      Our ideal customer is NOT someone who wants AI to do all their work for them and not have to think about it.

      What early traction or milestone validated that you were building something real?

      We started by applying our AI methodology to pro bono work for nonprofits. We repeatedly received feedback that our clients felt we had helped them complete three months of work in a couple of days, and that the quality of the work was better than the enterprise professional services they had used previously.

      How does ChatAgency.ai make money ?
      Is this a services-led AI play or a product-first platform?

      Chat Agency AI is a subscription-based SaaS product.

      What has been the toughest obstacle in building an AI-first company in today’s landscape?
      Fundraising? Talent? Tech? Customer education?

      Thankfully, my co-founder and I have been able to bootstrap Chat Agency AI and make it our full-time job. We also have decades of experience in professional services, product consulting, and technical development. This has meant that we’ve only had to contract talent for video production and other marketing executions. 

      The biggest challenge in building an AI-first company right now is the amount of noise in the market. We’ve heard from several executives who say their inboxes are overwhelmed with offers that aren’t ready for scale.

      If everything goes right, Where do you see ChatAgency.ai in 3–5 years?
      What does success look like beyond revenue?

      I hope ChatGPT can partner with platforms such as Figma, Miro, and Adobe, leveraging our maturity and expertise to improve their AI outputs in fewer iterations.

      What is one lesson you learned the hard way?

      It’s harder to get noticed than you might think, and while your friends and family are great for word of mouth, they don’t scale.
